Public Events
How can I join a social event?
You must apply through the application form for the specific event you would like to join. Each event has its own concept, categories, space sizes and participation details.
Does applying guarantee my space?
No. Applications are reviewed before approval. We select brands based on how well they fit the event concept, category mix and overall event standard.
How will I know if I have been accepted?
If your application is approved, you will receive an acceptance email with your payment link or payment instructions.
After being accepted, how long do I have to make the payment?
Payment must be completed within the deadline stated in your acceptance email, usually between 10 and 24 hours depending on the event timeline.
If payment is not received within this period, your space will be released and offered to the next suitable applicant.
Is my space reserved for me once I got accepted?
Your space is secured only once full payment has been received. An approved application without payment is not a confirmed booking.
What happens if the event is fully booked?
Once all spaces have been confirmed, the event is fully booked. We may keep suitable applicants on a waiting list and contact them if a space becomes available.
Can I cancel after booking?
You may cancel within four hours of completing your booking.
After four hours, all participation payments are non-refundable and cannot be transferred to another Social Events event. This allows us to offer any released spaces to other brands in time, especially for events booked close to the event date.
Can I transfer my space to another person or brand?
No. Spaces are non-transferable and may not be resold, shared or passed to another person or brand.
I can no longer attend, can I move my payment to another event?
No. Once the four-hour cancellation period has passed, participation payments are non-refundable and non-transferable.
Payments cannot be moved, credited or applied to a future Social Events event, even if you are unable to attend.
What if I change my mind about participating?
Once the four-hour cancellation period has passed, a change of mind is not a valid reason for a refund, credit or transfer to another event.
This includes deciding that the event is not personally suited to you, choosing not to attend, leaving the event early, not liking the event environment, or deciding not to participate because another brand or competitor is attending.
Can I share my booth with another brand?
No. Every confirmed participant receives their own individual booth or display space. Booth sharing is not allowed.
Can I bring my own stand, rack, furniture, or display setup?
No. All booth furniture, display elements and design details are provided by Social Events to maintain a cohesive event aesthetic and concept.
Participants may only bring their approved products and any small display items specifically permitted in the event details.
Can I take the furniture, signage, or booth items that was rented for me?
No. All furniture, stands, fixtures and display elements remain the property of Social Events.
Where brand-name stickers or signage are provided, these are for event display purposes only and remain part of the event setup unless otherwise stated.
What if I damage the furniture or booth step?
Participants are responsible for taking care of all furniture, fixtures and display items provided to them. If an item is damaged, stained, broken or lost due to misuse or negligence, Social Events may charge the cost of repair or replacement.
How much stock can I bring?
The amount of stock you may bring depends on the event, your allocated space and the display setup. Please check the individual event description for the stand size, permitted product quantity and any category-specific guidelines.
Can I bring products from another category?
No. You may only display the brand, product category and products that were approved in your application.
For example, if you applied as a clothing brand, you may not also bring perfumes, accessories or products from another category unless these were approved in advance.
What if I own more than one brand and want to put both together?
Each brand and category must be applied for separately. If you would like to participate with both a clothing brand and a perfume brand, you must apply and book a space for each category separately.
This helps us plan the event layout properly and maintain a balanced mix of brands.
Can I bring products that were not shown in my application?
No. Only approved products may be displayed or sold at the event. If you would like to add a new category or product type, you must email us for written approval before the event.
When will I receive setup and event details?
Confirmed participants will receive event updates, including location, setup time, arrival instructions and event rules, through email and/or WhatsApp.
Can I message Social Events customer service on WhatsApp?
Our WhatsApp messages are used for event announcements and operational updates only. This number is not monitored for enquiries or replies.
For any question, request or concern, please contact us by email only.
Can I call Social Events customer service?
No. To keep all event communication organised and documented, all enquiries are handled by email only.
How can I contact Social Events customer service?
Do you offer discounts for repeat participants?
Yes. Social Events will introduce loyalty benefits for brands that build an ongoing relationship with us and participate in multiple events.
These benefits may include early access to applications, priority consideration, discounts or exclusive offers. Details will be announced as the programme develops.
Can Social Events remove a participant from an event?
Yes. Social Events reserves the right to remove a participant who does not follow the event rules, brings unapproved products, damages event property, shares their booth, disrupts the event or behaves in a way that affects other participants or guests.
In such cases, no refund will be provided.
Will influencers feature my brand individually?
Influencers invited by Social Events are attending to cover the event as a whole, including the overall experience, atmosphere and selected event categories.
Individual brand coverage is not guaranteed. Influencers and content creators choose what they personally film, share or feature.
Why didn‘t the influencer post about my brand?
Social Events does not promise individual influencer coverage, posts, stories, reels or mentions for any participant.
The purpose of influencer marketing is to promote the event and encourage the right audience to attend. Once visitors arrive, their decision to visit, engage with or purchase from a specific brand is entirely their own.
Does Social Events guarantee sales or footfall?
No. Social Events does not guarantee sales, revenue, footfall, customer purchases or a specific commercial outcome for any participant.
We curate, market and organise the event to create a strong overall experience and attract visitors. However, each brand’s results can depend on many factors, including its product, pricing, customer service, sales team, stock selection and the individual preferences of visitors.
What if I do not make sales at the event?
Sales performance is the responsibility of each participating brand. A lack of sales does not make Social Events responsible for a refund, credit or compensation.
We recommend that every brand prepares its pricing, stock, display, payment method and sales team carefully to make the most of the event opportunity.
Do I need to help promote the event?
Yes. Public events work best when both Social Events and participating brands actively promote them.
We encourage every participant to share the event across their social media, WhatsApp contacts, customer list and community. This helps create excitement, bring in more visitors and support the overall success of the event.
Can I choose my booth location?
Yes. Available booth locations will be shared for you to select from. Social Events does not assign a location to a brand unless this has been agreed in advance.
What if I arrive, set up, and then decide to leave?
If you choose to leave the event, remove your products or stop participating after your booking has been confirmed, no refund, credit or transfer will be provided.
Social Events carefully curates each event, but personal preferences and relationships between participants are outside our control. Your participation payment secures your space, preparation and inclusion in the event; it does not depend on personal approval of every other participating brand or attendee.
Can I cancel because a competitor or another brand is participating?
No. The presence of another participant, including a competitor or a brand you personally do not wish to be around, is not a reason for a refund, credit or cancellation after the four-hour cancellation period.
We curate events based on concept, categories and the overall event mix. Participants are expected to remain respectful and professional throughout the event.
Can I request a refund if I feel my booth location affected my sales?
No. By selecting an available booth location, you confirm that you are happy with that placement.
Social Events designs the floor plan carefully to encourage visitors to move through and explore the full event. However, sales cannot be guaranteed based on a specific booth location, as purchasing decisions depend on the individual visitor and the brand’s own offering.
I believe my booth location affected my sales performance, can I get a refund?
We create the event layout with visitor flow in mind and aim to make every area feel visible, easy to explore and relevant to the guest experience. However, we cannot guarantee that every visitor will stop at every booth or make a purchase from every brand.
Can I bring models to the event?
Models may assist at your booth with sales, customer support or product information. However, they may not walk around the event in a catwalk-style manner or conduct an unofficial fashion show.
This is strictly not permitted, as it can disrupt the overall event experience and other participating brands.
What should my sales team wear?
All sales staff must wear the colour or dress guidance issued by Social Events for that specific event. This helps maintain a cohesive event aesthetic and supports the overall concept.
The required colour and any additional dress guidelines will be emailed to confirmed participants before the event.
Will sales staff need identification?
Yes. Social Events will provide badges for approved sales staff so guests and the event team can identify them easily.
All staff working at a booth must wear their badge throughout the event.
Do I need a valid trade license to participate?
Yes. All participating brands must hold a valid trade licence relevant to the products or services they intend to display or sell.
What happens if my trade license is expired or not valid?
Social Events has the right to reject or cancel an application if a trade licence is invalid, expired or does not cover the approved business activity.
If Social Events cancels your confirmed participation for this reason, any participation amount already paid will be refunded in full.
Can I participate under another brand’s trade license?
No. The brand applying must be properly authorised to trade under the submitted licence. We may request supporting information where necessary.
Private Events
How do I enquire about a private event?
Please contact us by email with your event type, preferred date, location, guest estimate, overall budget and any initial ideas you have.
We work on private events, brand activations, launches, pop-ups, event booths, celebrations and customised concepts.
How early should I contact Social Events?
We require at least three months’ notice for private events.
Projects requested with less than three months’ notice may be possible, subject to availability, but a short-notice premium fee will apply.
Do you begin planning before payment?
No. We do not begin mood boards, concepts, strategies, layouts, renders or proposals until the initial project deposit has been received.
This protects the time, creativity and planning that go into developing a custom event concept for you.
What is the initial project deposit?
The initial project deposit is 30% of the estimated total project budget. It is required before we begin developing your event concept and is strictly non-refundable.
Why is the initial deposit non-refundable?
The initial stage involves research, strategy, creative direction, mood boards, concept development and planning based on your event needs.
This work is created specifically for your project. It cannot be reused or transferred to another client.
Why do I need to share my budget from the beginning?
Your budget directly affects the scale, materials, level of detail, venue options, suppliers and overall creativity that can be included in your event.
Please be transparent about your maximum available budget from the beginning. We will create the best possible concept within it.
What if my budget only allows for a simple setup?
We will always aim to make your event feel thoughtful and well-executed within the budget provided. However, a smaller budget may mean a more basic design, fewer custom elements or more cost-effective materials.
A more elaborate result requires a higher budget.
Can I increase or reduce my budget later?
Yes, but any material change to the confirmed budget may require us to revise the concept, design, materials, layout or supplier plan.
Additional design work, re-quoting or revisions caused by a budget change may involve extra fees and may affect the project timeline.
What do I receive after paying the initial deposit?
We will develop initial creative directions, mood boards and strategies for you to review. You will then select the direction you would like us to develop further.
What if I change my mind after choosing a concept?
Once a concept has been selected and we begin developing the detailed layout, event design and execution plan, changing to a completely different idea means restarting the creative process.
A new concept direction will require an additional concept and design fee.
Can I reject an idea you recommend?
Of course. Our role is to recommend strategies and creative directions based on your goals, budget and event type. You are always free to approve, reject or request changes before final approval.
Once you approve a concept, layout, design or material, it becomes the agreed direction for the project.
What if I later decide I do not like a concept I approved?
We are not responsible for a change of mind after final approval. You will be given the opportunity to review and approve the concept, layout, materials, renders and relevant samples throughout the project.
Once approved, changes may require additional fees, revised timelines and new written approval.
How does payment work?
Private event payments are structured as follows:
- 30% initial project deposit before any work begins
- 60% once the final concept and design have been approved, before production and execution begin
- 10% no later than 24 hours before the event setup or installation
Is the initial 30% payment refundable?
No. The initial 30% project deposit is strictly non-refundable.
What happens if I do not pay the 60% after approving the design?
We cannot begin production, supplier bookings, purchasing, fabrication or execution until the 60% payment has been received.
Delays in payment may affect your project timeline, supplier availability and final event execution.
What happens if I do not pay the final 10% before the event?
If the remaining balance is not received at least 24 hours before setup, Social Events will not attend the venue or begin installation.
Full payment must be received before event execution.
Are event expenses included in your service fee?
Not always. Venue rental, permits, third-party suppliers, catering, entertainment, production, furniture hire, printing and other external costs are quoted separately unless clearly listed as included in your proposal.
Our service fee covers the services stated in your approved quotation, such as strategy, concept development, brand campaign, event design, management and execution coordination.
Are payments refundable if I cancel the event?
Payments for work already completed, creative development, reserved dates, supplier commitments, purchased materials and production are non-refundable.
Any external supplier or venue costs will follow the cancellation terms of that third party.
Will the final event look exactly like the render?
Renders are visual representations designed to communicate the agreed concept, layout, colours and overall direction.
Final execution will follow the approved design as closely as possible. Minor variations may occur due to venue conditions, production methods, material availability, lighting or third-party supplier requirements.
Will I approve colours and materials before production?
Where relevant, we will provide physical samples, colour references or material samples for your approval.
Once you approve a sample, it becomes the agreed reference for the final execution.
What if I later say the quality is not what I expected?
We execute according to the approved concept, sample and material reference. If you have approved the physical sample or material, we will use that approval as the quality and finishing standard for the project.
Can I purchase only the concept, design and renderings?
Yes. You may book a design-only service that includes the agreed concept, layout, renderings, dimensions and relevant design files.
This does not include production, installation or event execution unless stated in your quotation.
What if I execute Social Events’ designs with another contractor?
If you choose to use another contractor, supplier or production team, Social Events is not responsible for their quality, delays, sizing, materials, finishing, installation or failure to follow our design.
We are only responsible for execution when Social Events is contracted to manage and execute the project.
Who owns the design and renderings?
All concepts, mood boards, strategies, layouts, renders and creative work remain the intellectual property of Social Events unless a separate design-only package or written usage agreement states otherwise.
Our designs may not be shared, copied, reproduced or given to another contractor without written permission.
What if I provide the wrong venue layout or measurements?
You are responsible for providing accurate venue plans, dimensions, measurements and technical information when these are supplied by you or your venue.
Social Events is not responsible for errors in designs, sizing, production or layout caused by inaccurate information provided to us.
Do I keep the furniture and event items after the event?
No. Unless specifically quoted as a purchase, all furniture, structures, props, signage, décor and event elements provided by Social Events are rented for the event only and remain our property.
Why can’t I take branded items home after the event?
Event items are designed for temporary event use. To make creative events achievable within a practical budget, we may use materials intended for one-time or short-term installation rather than long-term home or retail use.
Can I buy the event items instead?
Yes, but this must be requested before production begins.
If you would like to keep items after the event, we will quote them separately using materials and production methods suitable for long-term use. This will involve a higher cost than temporary event-use items.
Can I take my branded stickers or logo elements?
Branding may be designed specifically for temporary event use and may form part of the rented setup. Any items you wish to keep must be agreed and quoted in advance.
Can Social Events recommend a venue?
Yes. We can recommend suitable venues based on your event goals, budget, expected guests and concept. You may also request a specific venue for us to explore.
Is venue rental included?
Venue rental is separate from Social Events’ service fee unless it is clearly stated as included in your quotation.
Can I choose your contractors or suppliers?
Social Events works with selected internal contractors and trusted partners. We use the teams and suppliers we believe are best suited to deliver the project properly.
Our contractor and supplier details are confidential and are not shared with clients.
Can you arrange collaborations or brand partnerships for my event?
Yes, where relevant to your event strategy, we can help identify and arrange suitable collaborations or introductions.
However, agreements, payments, legal obligations and commercial terms between you and any third party remain your responsibility unless otherwise agreed in writing.
Are you responsible if a recommended collaborator causes an issue?
No. We may recommend or introduce potential collaborators based on the event strategy, but Social Events is not legally responsible for disputes, failed agreements, payments, deliverables or other issues between you and that third party.
What if the venue or exhibition organiser delays access to the space?
If a venue, exhibition organiser or other third party does not give us access at the agreed time, this may affect setup, finishing and installation.
Social Events is not responsible for incomplete work, delays, damage or changes caused by late access, restricted access, venue rules, third-party delays or circumstances outside our control.
What if a supplier changes something or is unavailable?
We will always work to find the best available solution. However, supplier availability, imported materials, venue restrictions and third-party services are outside our direct control.
If a substitution or adjustment is necessary, we will aim to maintain the approved concept and quality as closely as possible.
Do you guarantee sales, footfall or business results?
No. Social Events is an event strategy, design and execution company. We do not guarantee sales, footfall, customer conversion, revenue, media coverage or a specific commercial result.
We can recommend strategies that support visibility and engagement, but the final outcome also depends on the product or service, pricing, marketing, sales team, customer experience and audience response.
What if I feel the event was not worth the amount paid?
Your quotation, budget, concept, design, samples and project stages are shared for approval throughout the process.
Once these elements have been approved and delivered according to the agreed scope, a later change of opinion or influence from others does not create a right to compensation, refund or discount.
Are you responsible if someone says they could have done it for less?
No. Our fees reflect the agreed scope, planning, strategy, creative work, management, production coordination and execution required for your specific event.
We recommend making your decision before approving the proposal and beginning the project.
How do I communicate with Social Events?
All project communication must be kept by email.
We do not manage client enquiries through WhatsApp, Instagram direct messages, personal phone numbers or unscheduled calls.
Why is communication kept by email?
Private events involve detailed approvals, budgets, timelines and responsibilities. Keeping communication by email ensures that all decisions, approvals and changes are clear, organised and documented for both sides.
Can I call the founder or team directly?
No. Personal calls and direct messages are not used for project communication. Please email us, and the relevant team member will respond through the proper channel.
Will there be meetings?
Where a meeting is required, it will be held virtually and scheduled in advance.
Meetings may be recorded or AI-noted for accurate meeting notes. A written summary of key decisions and actions may be shared afterwards for clarity.
How many meetings are included?
The number of meetings is determined by the size and complexity of your project. This will be set by Social Events as part of your project plan.
Additional meetings or changes outside the agreed scope may be subject to additional fees.
Will I receive daily updates?
No. At the beginning of the project, you will receive a project roadmap with key stages, deadlines, approval points and expected updates.
We will communicate when an approval, decision or client action is needed. Continuous updates outside the agreed project plan are not included.
Why do I receive WhatsApp updates if communication is by email?
WhatsApp may be used for one-way reminders, announcements or operational notifications. It is not monitored for project enquiries, approvals or replies.

Can I be present during production or event setup?
No. Clients, guests and unauthorised team members are not permitted to be present during production, installation or event setup.
You will be invited to view the event once the setup has been completed and the Social Events team confirms that it is ready.
Why can’t I stay during setup?
Event setup requires focus, coordination, safety and a clear working timeline. Unplanned visits, repeated questions, stress, interference or additional people in the working area can distract the team and affect the quality and timing of the final setup.
By allowing our team to work without interruption, you are giving us the best opportunity to execute the approved event properly.
What if there is an issue during setup?
If there is any important issue, change or concern that requires your decision, Social Events will contact you directly by email or through the agreed project communication channel.
If you do not hear from us, please trust that the team is managing the setup according to the approved plan.
Can Social Events ask someone to leave the setup area?
Yes. Social Events has the right to ask the client, their guests, staff, suppliers or any unauthorised person to leave the production or setup area if their presence affects the team’s focus, safety, workflow or event timeline.
What if a client or guest interrupts the setup process?
If a client, guest or representative delays, distracts, interferes with or prevents our team from carrying out the agreed work, Social Events will not be responsible for resulting delays, incomplete work, changes to the final setup or reduced finishing time.
Any impact on the event caused by this interference will be the responsibility of the client.
Can I make changes while the team is setting up?
Last-minute changes during setup are not guaranteed and may not be possible. Any approved last-minute change may involve additional charges, affect the timeline or require elements of the original design to be removed or adjusted.
When can I see the final event setup?
We will notify you once the setup is complete and ready for your viewing. Please arrive at the agreed handover time so the event can begin smoothly.
Can I postpone my private event after paying the initial deposit?
You may request to postpone your event once. The 30% initial project deposit is non-refundable, but it may be held as a credit towards one new event date within six months of the original booking date.
The new date is subject to Social Events’ availability.
What happens if I do not confirm a new date within six months?
If a new event date is not confirmed within six months, the initial project deposit will expire.
It will not be refunded, transferred to another person, converted into store credit or carried forward beyond this period.
Can I postpone my event more than once?
No. The six-month credit is offered for one postponement only. Any further postponement, cancellation or change of project will require a new booking and a new initial project deposit.
Will my original quotation still apply after postponing?
Not necessarily. Prices, venue costs, supplier rates, material availability and production costs may change over time.
Your postponed event will be re-quoted based on the new date, current costs and the final scope of work. Any work already completed, materials purchased or supplier commitments made before postponement remain non-refundable.
What happens if I delay a required payment?
Project timelines depend on receiving your payments by the agreed deadlines. If payment is delayed, Social Events cannot guarantee that the project, production or installation will be completed in time for your original event date.
Can you still complete my event if I pay late?
We will assess what is realistically possible once payment is received. Depending on the remaining time, Social Events may:
- require the event date to be moved;
- offer a faster production option at an additional short-notice or rush fee; or
- adjust the scope based on what can realistically be produced and installed on time.
What if suppliers cannot accept the project because payment was delayed?
If suppliers, contractors or production teams cannot accept the work within the remaining timeline, the event date must be postponed.
This is a postponement caused by delayed payment, not a cancellation by Social Events. No refund, credit or compensation will be provided.
Will late payment cancel my event automatically?
No. The project remains active, but its timeline and event date may need to change. Your payments and deposit remain subject to the agreed payment and postponement policies.
Am I responsible for rush fees caused by late payment?
Yes. Any additional production, supplier, delivery or installation costs caused by late payment will be charged to the client before work begins.
How do I approve my event project?
All approvals must be given in writing by email. This includes approval of the budget, concept, mood board, layout, render, colours, materials, samples, scope, timeline and final changes.
Verbal discussions, calls, Instagram messages and WhatsApp messages are not considered final approval unless they are confirmed by email.
Can someone else approve decisions on my behalf?
Only the client or a person formally authorised by the client in writing may approve changes, costs, designs or project decisions.
Social Events is not responsible for conflicting instructions received from family members, staff, business partners, friends or other representatives who are not the authorised decision-maker.
What happens after I approve a stage of the project?
Once a stage is approved, Social Events may move forward with production, bookings, purchasing or execution. Changes requested after approval may involve additional fees, material loss, supplier charges and timeline changes.
Can I request unlimited revisions?
No. Your quotation will state the number of revisions included in your project. Any additional revision, major change, new concept direction or change after approval will be quoted separately.
What is considered a major change?
A major change includes changing the approved concept, colour direction, event layout, guest capacity, location, date, material, structure, event purpose, brand direction or production scope.
Major changes may require the project to be re-quoted and rescheduled.
What happens when the event setup is complete?
Once setup is complete, Social Events will invite you for the agreed handover or final viewing. You must review the event against the approved scope at that time and raise any immediate concern before the event begins.
What if I raise a complaint after the event?
Any concern must be raised by email within [24 hours] of the event ending, with clear photos, videos and details of the specific issue.
Social Events must be given a reasonable opportunity to inspect and, where appropriate, correct an issue before any claim for compensation is considered.
Can I request compensation because I personally expected something different?
No. Personal expectations that were not included in the approved proposal, written scope, render, sample or quotation are not part of the agreed service.
Social Events delivers according to the written and approved project scope.
What information do I need to provide?
You are responsible for providing accurate event details, venue plans, measurements, guest numbers, brand assets, logos, text, approvals, deadlines and any other information requested for the project.
Delays or errors in this information may affect the event timeline, design or final execution.
What if I do not provide information or approvals on time?
If required information, approval or payment is delayed, Social Events may need to adjust the timeline, reduce the scope, apply a rush fee or postpone the event date.
Social Events is not responsible for delays caused by late client communication, late approvals, late payment or inaccurate information.
Am I responsible for permits and venue approvals?
Unless specifically included in your written scope, you are responsible for obtaining all permits, licences, venue approvals, legal permissions and insurance required for your event, guests, products and activities.
Can you guarantee that the venue will approve everything?
No. Venue approval, authority approval and permit approval remain subject to the relevant venue, government body or third party. Social Events cannot guarantee approval where the final decision is outside our control.
Am I responsible for my guests, staff and suppliers?
Yes. You are responsible for the conduct, safety, actions and requirements of your guests, staff, personal suppliers and representatives.
Any damage, delay, disruption, additional cleaning, security cost or venue charge caused by them will be your responsibility.
What happens if costs increase after my proposal is approved?
Third-party costs such as venue rental, supplier fees, materials, printing, transport, labour, permits and production may change before booking or production is confirmed.
If a cost changes outside Social Events’ control, we will notify you and provide the available options before proceeding.
What if a product, material or supplier becomes unavailable?
We will aim to offer the closest suitable alternative while maintaining the approved concept as closely as possible. Exact materials, colours or supplier items cannot always be guaranteed if they become unavailable.
What happens if weather, government rules, venue restrictions or another external issue affects the event?
Social Events is not responsible for delays, changes, reduced access, postponement or cancellation caused by circumstances outside our reasonable control, including weather, venue restrictions, government requirements, transport disruption, supplier failure, emergencies or force majeure events.
Can you guarantee influencer coverage, media coverage or public attendance?
No. Any marketing, influencer outreach, collaboration or media support is intended to support the overall event strategy. Individual posts, guest attendance, footfall, sales, reach, press coverage and business results are never guaranteed.
What is included in my booking?
Only the services, items and deliverables specifically listed in your approved proposal and quotation are included in your booking.
Anything not stated in writing is excluded unless added through a written variation or updated quotation.
Can the scope be changed during the project?
Yes, but any additional service, item, supplier, production requirement or change of direction must be approved in writing and may require an additional payment before work begins.
Are verbal promises or informal messages binding?
No. The final signed agreement, approved quotation and written email confirmations form the basis of the project.
What happens if there is a disagreement?
Both parties agree to first try to resolve any concern in writing and in good faith. Any unresolved dispute will be handled according to the governing-law and dispute-resolution terms stated in the signed project agreement.
Can you promote my private event to the Social Events community?
Yes, selected private events may be eligible for a paid marketing add-on through Social Events’ own approved channels.
This may include an invitation shared through our email list, social media or other suitable channels, depending on the event and audience fit.
Will I receive access to the Social Events database?
No. Our client and community database is private and will never be sold, shared, transferred or provided to another business or client.
Social Events may send an invitation on your behalf where appropriate, but all communication remains managed by Social Events.
Does database promotion guarantee attendance or sales?
No. Paid promotion covers the marketing activity itself. It does not guarantee attendance, RSVPs, footfall, sales, media coverage or customer conversion.
Rentals
What can I rent from Social Events?
You can rent selected furniture, stands, décor, display items, event props, signage structures and event-use pieces from the Social Events collection.
Available items, sizes, quantities and rental periods will be shared in our rental catalogue or quotation.
How do I book rental items?
Please email us with the items you need, event date, event location, rental period and any delivery or setup requirements.
We will confirm availability and send you a quotation.
Does sending an enquiry reserve the item for me?
No. Items are only reserved once your quotation has been approved and the required payment has been received.
Until payment is received, all items remain subject to availability and may be booked by another client.
Can I reserve items for a future date?
We may be able to hold items for a limited period, subject to availability and written confirmation. A booking is not secured without payment.
Can I visit and see the items before renting?
Viewings may be available by appointment only, depending on the item and its current location. Please email us to request a viewing.
How do rental payments work?
Rental payments, delivery fees, installation fees and any refundable security deposit will be stated clearly in your quotation.
Full payment is required before collection, delivery or installation.
Is there a security deposit?
A refundable security deposit may be required depending on the item, quantity, event type and rental period.
The deposit is held to cover loss, damage, excessive cleaning, missing parts, late return or unauthorised use of Social Events property.
When will my security deposit be returned?
Your security deposit will be returned after all items have been collected, inspected and confirmed to be complete and in acceptable condition.
Any repair, replacement, cleaning, missing-item or late-return costs will be deducted where applicable.
Can I cancel my rental booking?
Cancellation terms will be stated in your quotation. Once an item has been reserved, prepared, transported, customised or removed from availability for your event date, rental payments may be non-refundable.
Can I move my rental booking to another date?
A date change is subject to item availability and must be requested by email. A change of date is not guaranteed and may involve additional fees, new transport costs or a revised quotation.
Can I transfer my rental booking to another person?
No. Rental bookings are non-transferable unless Social Events gives written approval.
Do I own the items after renting them?
No. All rental furniture, props, display pieces, stands, structures and accessories remain the exclusive property of Social Events at all times.
Can I take the items home or keep them after the event?
No. Rental items must be returned or made available for collection at the agreed time and location.
If you would like to purchase a similar item for long-term use, please request a separate purchase quotation before your event.
Can I use the items for more than one event?
No. Your booking covers only the agreed event, date, venue and rental period. Items may not be kept, reused, moved to another location or used for another event without written approval.
Can I rent the items out to someone else?
No. You may not sub-rent, lend, sell, transfer or allow another business to use Social Events rental items.
Can I change, paint, drill into or alter the furniture?
No. Rental items may not be painted, drilled, nailed, glued, cut, taped, branded, modified or altered in any way without written approval.
Can I add my own branding to the rental items?
Branding, stickers, signage or décor may only be added with prior written approval. You are responsible for removing approved branding safely and completely without damaging the item.
Any damage, adhesive residue or cleaning required will be charged to the client.
Can I use candles, food, drinks, flowers or water near the furniture?
Only if approved for that specific item. Clients are responsible for preventing spills, stains, wax damage, water damage, heat damage and damage caused by food, drinks, florals or event activities.
Do you offer delivery and collection?
Yes, where available. Delivery, collection, installation and dismantling are quoted separately unless included in your rental package.
Can I collect the items myself?
Self-collection may be available for selected items only. You must use suitable transport and ensure the items are handled safely.
Social Events may refuse self-collection if the vehicle, packaging, loading method or collection arrangement is not suitable.
Who is responsible for venue access?
You are responsible for ensuring that the venue provides correct access details, loading access, parking, lift access, setup timings and any required permissions.
Any waiting time, restricted access, additional labour, parking fees, fines or delay caused by the venue or client may be charged to you.
Can I choose the delivery and collection time?
We will aim to accommodate your requested timing, subject to our schedule, venue access and operational requirements. Final timings will be confirmed in writing.
What if the event runs late and the items cannot be collected?
You must inform us immediately by email. Late collection may result in additional rental, labour, transport or storage charges.
Do I need to be present for delivery or collection?
You, or an authorised representative, must be available at delivery and collection to inspect the items and sign the handover documentation.
What if no one is available when you arrive?
If no authorised person is available, or the venue cannot provide access, Social Events may charge waiting time, re-delivery, re-collection or additional transport fees.
Who is responsible for the rental items during my event?
From delivery or handover until collection or return, you are fully responsible for all rented items.
This includes damage, loss, theft, stains, breakage, missing parts and damage caused by guests, staff, suppliers, children or any other person at your event.
What happens if an item is damaged?
Please inform Social Events immediately. We will assess whether the item can be cleaned, repaired or must be replaced.
You will be charged the applicable cleaning, repair or replacement cost. This may be deducted from your security deposit, and any additional balance remains payable by you.
What happens if an item is lost or stolen?
Lost or stolen items must be paid for at the full replacement value, including any sourcing, transport and administration costs where applicable.
What if an item is returned dirty?
Items must be returned in the same reasonably clean condition in which they were received. Excessive cleaning, stains, wax, food residue, flower water, adhesive residue, confetti or other damage will be charged to the client.
What if I notice damage when the item is delivered?
Please inspect all items at handover and notify the Social Events team immediately. Any pre-existing condition will be documented in the handover record.
Can Social Events enter the venue to collect its items?
Yes. Once the agreed rental period ends, Social Events and its authorised team have the right to access the agreed collection area to retrieve its property, subject to venue access rules.
Can I use the rental items outdoors?
Outdoor use must be approved in writing before booking. Some items are not suitable for heat, wind, sand, rain, uneven flooring or outdoor conditions.
Any approved outdoor use remains at the client’s risk.
Can I move the furniture after setup?
No. Once Social Events has placed or installed items, they should not be moved without permission. Moving furniture incorrectly may cause injury, damage or an unsafe event setup.
Is Social Events responsible for injury or damage caused by incorrect use?
No. Clients must ensure that all items are used safely and only for their intended purpose. Social Events is not responsible for injury, damage or loss caused by misuse, unauthorised movement, overloading or unsafe use of rental items.
Does renting furniture include event design or setup styling?
Not unless clearly included in your quotation. Furniture rental, event styling, floor planning, delivery, installation and full event execution are separate services.
Can you guarantee that the item will look exactly like an online image?
We aim to show items accurately. However, colours may appear slightly different depending on lighting, photography, screen settings and venue conditions.
What if an item becomes unavailable before my event?
In the unlikely event that an item becomes unavailable due to damage, loss, prior-event delay or circumstances outside our control, we will offer the closest suitable alternative or an appropriate refund for the unavailable item.
How do I contact Social Events about my rental?
All rental enquiries, approvals, changes and requests must be sent by email.
Can I contact you by WhatsApp, Instagram or phone?
No. WhatsApp may be used only for one-way delivery or collection notifications. All enquiries and approvals must be kept by email.
Guest Invitations & RSVP Management
Do you provide wedding and private-event RSVP services?
Yes. For selected weddings, celebrations, launches and private events, we can manage digital invitations, RSVP confirmations, event details and guest reminders as an add-on service.
What does the RSVP service include?
The exact inclusions depend on the package you select. This may include sending the invitation, collecting confirmed attendance, sending the location and event details to confirmed guests, sending a reminder before the event and providing the client with a guest-response list.
Can you send invitations through WhatsApp?
Yes. Where included in your package, invitations may be sent through an approved WhatsApp communication flow. Guests can confirm attendance through the RSVP option provided and receive the relevant event details automatically.
How are invitations sent to guests?
Each guest receives an individual invitation using the contact details provided by the client. Depending on the selected package and the client’s preference, invitations may be sent by WhatsApp or email.
We can also send RSVP confirmations, event details, location information and reminders through the same agreed channel. We do not make unsolicited phone calls to guests or repeatedly contact them outside the agreed invitation and RSVP flow.
What information do you need from us?
You must provide a complete, accurate and up-to-date guest list in the format we request, usually including the guest’s name and mobile number. You are responsible for ensuring that you have the right to share each guest’s information and invite them to your event.
Can guests reply with questions on WhatsApp?
The RSVP flow is designed for attendance confirmation and automated event information. It is not a general customer-service channel. Guest questions outside the RSVP flow may not receive an individual response unless this is included in your selected package.
Will every guest receive the invitation?
We use professional communication tools, but we cannot guarantee delivery, delivery time, message opening, guest responses or attendance. Delivery may be affected by inaccurate phone numbers, a guest’s device settings, WhatsApp policies, internet access or other circumstances outside our control.
Can we change the invitation, event details or guest list after sending?
Changes are possible only before the relevant message has been scheduled or sent. Once invitations, reminders, location details or other messages have been sent, they cannot be recalled.
Material changes, such as a new event date, venue, time, invitation design or additional guest batch, may require a revised fee and timeline.
When do confirmed guests receive the location and event details?
This depends on your agreed RSVP flow. Usually, confirmed guests receive the location, date and timing automatically after confirming attendance, unless you instruct us to release those details later.
Do you send a reminder before the event?
Yes, where included in your package. A reminder may be sent to confirmed guests before the event, usually one day before. The timing and wording will be agreed as part of the RSVP plan.
Will you guarantee a certain number of confirmed guests?
No. We manage the invitation and RSVP process, but guest attendance, responses, cancellations and no-shows remain outside our control. We do not guarantee guest numbers, turnout or event attendance.
Will we receive the guest-response list?
Yes. Where included in your package, we will provide an RSVP summary or guest-response list based on the responses received through the agreed system. The information is only as accurate as the guest list and guest responses provided.
Do you use our guest list for Social Events marketing?
No. We do not sell, add or use your guest list for unrelated Social Events marketing. We use it only to provide the agreed invitation, RSVP, reminder and event-information service.
If a guest has separately subscribed to Social Events through their own direct opt-in, that separate subscription remains independent from your guest-list and RSVP record.
