Welcome to Social Events. These Terms & Conditions govern the use of our website and any booking, application, rental, event service, RSVP service or other service provided by Social Events Sole Establishment.
Please read them carefully before submitting an application, making a payment, confirming a quotation, renting an item, attending an event or using our services.

In these Terms, “Social Events”, “we”, “us” and “our” mean Social Events Sole Establishment. “Client”, “participant”, “renter”, “you” and “your” mean any person or business using our services.

Acceptance of These Terms

By accessing our website, submitting an application, confirming a booking, accepting a quotation, making a payment, attending an event, renting an item or instructing us to begin work, you confirm that you have read, understood and agreed to these Terms, our Store Policy and our Privacy Policy.

If you book or act on behalf of a business, you confirm that you have authority to bind that business to these Terms.

Order of Documents

These Terms apply to all Social Events services. For a specific project, the following documents form part of the agreement:

  • the accepted quotation;
  • the agreed scope of work or booking confirmation;
  • written email approvals;
  • approved layouts, renderings, samples, schedules or production plans;
  • applicable event rules; and
  • these Terms, Store Policy and Privacy Policy.

If there is a conflict, the signed agreement or accepted quotation for that specific project will take priority, followed by written email confirmation from Social Events.

Our Services

Social Events may provide public events, private events, event strategy, concept development, styling, design, event production, exhibition coordination, wedding and celebration organization, event experiences, furniture and event rentals, and selected invitation and RSVP coordination services.

The exact scope of every service is limited to what is expressly included in the written quotation or booking confirmation. Anything not listed is excluded and may require an additional quotation.

Communication, Notices and Approvals

All official enquiries, instructions, approvals, changes, complaints and requests must be sent by email to our official email address.

WhatsApp may be used for one-way notices, reminders, announcements, RSVP automation and operational updates. Unless a message specifically asks for an RSVP response, WhatsApp replies may not be monitored or answered. WhatsApp, Instagram, telephone calls, verbal discussions and personal messages to team members are not valid channels for official approval, changes or complaints.

Virtual meetings may be recorded or AI-noted with notice to participants. Social Events may issue a written summary of meeting decisions. The client must notify us promptly by email if a summary contains a material error.

Prices, Invoices, Payments and Taxes

All prices are in AED unless stated otherwise. Quotations are valid only for the period stated in the quotation and are subject to availability, supplier pricing, venue availability and applicable taxes.

Payments must be made by the payment method and deadline stated on the invoice or booking confirmation. Late payment may result in a pause in work, delayed delivery, changed scope, release of a public-event space, postponement, a rush fee or cancellation where permitted by law.

Social Events may issue invoices, payment reminders and receipts electronically. Any bank, payment-provider or currency-conversion fees are the responsibility of the payer unless expressly stated otherwise.

Public Event Applications and Approval

Public-event participation is by application and approval only. Applying does not guarantee acceptance, a booth or a specific location.

We review applications based on the event concept, category balance, product suitability, brand fit, trade-licence validity, operational capacity, safety requirements and our event standards. We may approve, decline, request further information or cancel an application where reasonably necessary.

Once approved, the payment deadline will be included in the approval email. Unless otherwise stated, payment must be made within the stated period, which may be between 10 and 24 hours. A booth is secured only when payment is received in full. If payment is not received on time, we may offer the space to the next applicant without further notice.

Public Event Cancellations, Refunds and Transfers

A participant may cancel a public-event booking within four hours of completing the booking by email.

After the four-hour cancellation period, all public-event payments are strictly non-refundable, non-transferable and cannot be changed into store credit, credit for another event or a different service.

This applies if you change your mind, cannot attend, choose to withdraw, leave early, decide the event is not for you, dislike another participant or competitor, do not achieve expected sales or do not wish to participate for any personal reason.

A participant may not sell, transfer, share or sublet their booth without Social Events’ written approval.

Waitlists and Fully Booked Events

When an event is fully booked, additional applications may be placed on a waitlist where available. A waitlist does not guarantee approval, availability or a future space.

We may contact waitlisted applicants when a space becomes available. Spaces remain subject to approval, payment by the stated deadline and event suitability.

Public-Event Booths, Categories and Products

Each booth is for one approved business and one approved category unless Social Events confirms otherwise in writing.

Only the approved brand, products and category may be displayed or sold. Participants may not bring an additional brand, category, business or product range without prior written approval, even where the owner is the same.

For example, a clothing brand may not add perfumes, beauty products or another category unless that category has also been approved and booked. This is necessary to maintain the event layout, category balance and visitor experience.

The booth dimensions, furniture, display capacity and permitted product quantity vary by event. Participants must review the relevant event description before applying.

Booth Locations, Layout and Visitor Flow

Where applicable, participants select from available booth locations. Social Events does not guarantee a particular sales outcome, visitor volume or commercial result based on booth location.

We create layouts with the intention of encouraging visitors to move through the event. However, customer movement, purchasing decisions, product demand, price, marketing, sales skills and sales results are outside our control.

A participant’s selection of a location, or dissatisfaction with a selected location, does not create a right to a refund, compensation, relocation or claim against Social Events.

Event Furniture, Stands, Signage and Property

All furniture, stands, display elements, décor, signage structures and styling supplied by Social Events remain our property at all times.

Participants may not bring external stands, racks, furniture, display structures or design elements unless we approve them in writing. This is necessary to protect event safety, brand aesthetic and layout consistency.

Brand-name labels, stickers or signage provided by Social Events are for event identification only and remain our property unless stated otherwise. No furniture, stand, signage or styling item may be removed, altered, taken home or reused without written permission.

Participants are responsible for Social Events property in their care and must pay for reasonable repair, replacement, cleaning or loss costs caused by misuse, negligence, damage, unauthorized alteration or failure to follow instructions.

Public-Event Staff, Dress Code and Models

Only approved sales staff may work at a participant’s booth. Staff may be required to wear Social Events badges and follow a specified color or dress code for the relevant event.

Models may assist with sales where approved, but may not conduct catwalks, fashion shows or promotional walk-throughs around the venue.

Social Events may refuse entry to, remove or restrict any staff member who does not follow event rules, safety rules, venue requirements or conduct standards. No refund is due where removal results from a participant’s or representative’s breach.

Influencers, Marketing, Footfall and Sales

Influencers, photographers, videographers, media partners and marketing partners promote the event as a whole. Individual booth coverage, individual influencer posts, product features, social-media reach, visitor turnout, leads, customer purchases, sales, profit or return on investment are not guaranteed.

Social Events may choose which event moments, categories or brands to feature. Participants are encouraged to promote their attendance to their own audience and contacts.

Social Events is an event-services company. We do not act as a sales agency and are not responsible for a participant’s sales performance, pricing, product demand, staff performance, customer conversion or commercial outcome.

Participant Responsibilities and Trade Licenses

Public-event participants must hold a valid trade license and all approvals required to sell or display their products or services.

We may request a trade licence and supporting documents at any time. If a licence is invalid, expired, unsuitable or cannot be verified, we may reject or cancel the application. If we cancel solely for this reason after payment, we may refund the amount paid for that participation, provided the participant has not otherwise breached these Terms.

Participants remain fully responsible for their products, labelling, pricing, licenses, insurance, warranties, safety, quality, intellectual-property rights, tax obligations and legal compliance.

Private Event Deposit and Payment Schedule

Private-event concept work begins only after the initial payment is received. Unless otherwise stated in the quotation, the payment schedule is:

  • 30% non-refundable initial payment before concept development, strategy and moodboarding begin;
  • 60% after written approval of the design and before production begins; and
  • 10% no later than 24 hours before installation or event setup.

If the final payment is not received at least 24 hours before setup, Social Events may decline to install, deliver or attend the event. This does not cancel the client’s payment obligations.

Private Event Budgets, Scope and Quotations

Clients must provide a clear and realistic maximum budget at the beginning of a project. Our ideas, materials, production methods, design scope and supplier recommendations are developed around that budget.

If the budget is limited, the execution may necessarily be more basic. This does not mean that the service is incomplete or below the agreed scope.

Venue rental, venue deposits, permits, catering, entertainment, external suppliers, transport, security, photography, staffing and other third-party costs are excluded unless the quotation specifically includes them.

A client who changes the budget, guest number, event date, venue, scope, style, materials or requirements after work has started may be charged additional fees and may receive a revised timeline or quotation.

Mood boards, Concepts, Approvals and Revisions

Social Events may provide mood boards, strategies, concepts, layouts, renderings, samples, colours, materials, schedules or other creative work for review.

The client must review each stage carefully and give written approval by email before we proceed. The client may reject an idea before approval; however, once a concept is approved, we rely on that approval to begin detailed design, supplier coordination and production.

A change to a different concept, theme, strategy, layout or design direction after approval is not a minor revision. It may require new concept work, redesign, supplier changes, additional fees and an extended timeline.

The client is responsible for approved decisions and may not claim that a concept was imposed by Social Events where they had the opportunity to reject, amend or approve it.

Renderings, Samples and Client Information

Renderings, moodboards and visual references are design tools. They show the intended direction but may not exactly reproduce lighting, venue conditions, handmade finishing, supplier materials, colors on different screens or third-party venue conditions.

Where we provide physical samples of materials, colors or finishes, the client’s approval confirms acceptance of that reference standard. Social Events may retain records, photographs or duplicate samples of approved materials.

Clients must provide accurate venue plans, measurements, files, layouts, access information, dimensions, site conditions and specifications. Social Events is not responsible for errors, resizing, redesign, delay, additional cost or unsuitability caused by inaccurate, incomplete or late information supplied by the client, venue or third party.

Private Event Postponement, Cancellation and Credit

The 30% initial private-event payment is non-refundable.

If a client postpones, the 30% initial payment may be used once towards a new date for the same client, provided the new date is confirmed within six months of the original event date and is subject to Social Events’ availability.

After six months, the amount expires. It is non-refundable, non-transferable and cannot be converted into store credit. A new date may require a new quotation based on current costs, availability and supplier pricing.

Any further postponement, major concept change, change of client or project restart may require a new booking and deposit.

Late Payment, Delays and Rush Requests

If a client delays payment, approval, venue information, measurements, access, guest information or any other required decision, Social Events cannot guarantee the original project timeline.

We may pause work, revise the scope, require a rush fee, change the event date or decline production or installation where the remaining time is not operationally feasible.

If suppliers cannot accept the project because of the shortened timeline caused by client delay, the client must change the event date. This is a postponement, not a cancellation by Social Events, and does not create a right to a refund.

Venues, Suppliers, Contractors and Collaborations

Social Events may recommend venues, suppliers, contractors, collaborators or other third parties based on the event strategy. A recommendation is not a guarantee of their performance, availability, conduct, legal compliance, commercial result or pricing.

We work with selected contractors and suppliers. Their identities, commercial terms, rates and arrangements are confidential unless we choose to disclose them.

Where the client uses their own contractor or asks another party to execute our design, Social Events is not responsible for that party’s work, materials, safety, timing, delays, interpretation, completion or final result.

Where a venue, exhibition organiser, supplier or other third party delays access, denies access, changes conditions, fails to provide services, causes damage or otherwise prevents the planned setup, Social Events is not responsible for resulting delays, reduced finishing or incomplete work beyond our reasonable control.

Setup Access, Client Interference and Handover

Clients, guests and unauthorized representatives may not enter or remain in a setup, installation or production area until Social Events confirms it is ready for review.

This protects safety, work quality, focus and the agreed timeline. We may ask any person to leave the work area if they interfere with the team, suppliers, safety procedures or production schedule.

The client is responsible for delays, disruption or additional costs caused by their representatives failing to follow this requirement. If we identify a material problem during production or setup, we will communicate it through the agreed official channel.

Once the setup is ready, the client should inspect it promptly and raise any concern before the event begins where reasonably possible. We may document final setup through photographs, videos, checklists and handover records.

Ownership of Event Items and Temporary Materials

Unless a quotation expressly states that an item is being sold to the client, all event furniture, props, structures, décor, signage, display items and materials supplied by Social Events are hired for temporary event use and remain our property.

Many event materials are designed for temporary or one-time use and are not intended for long-term reuse. If a client wishes to own an item or use it after the event, they must request this before production begins.

Ownership requires a separate written quotation, more durable materials where appropriate and full payment. Social Events is not required to sell, transfer or release temporary event materials after an event.

Rental Bookings and Use of Rental Items

All rental items remain the property of Social Events. A rental is confirmed only when availability is confirmed and all required payments or security deposits are received.

Rental items may be used only for the agreed event, location, date and purpose. They may not be sub-rented, lent, moved, altered, branded, painted, drilled, glued, taped, repaired or modified without our written approval.

The renter is responsible for the items from delivery or handover until collection or return.

Rental Deposits, Damage, Loss, Cleaning and Late Returns

The renter is responsible for loss, theft, breakage, missing parts, damage, excessive cleaning, candle wax, food or drink stains, water damage, unauthorized outdoor use and misuse.

We may retain all or part of a security deposit and charge additional amounts where cleaning, repair, replacement, collection, storage or late-return costs exceed the deposit.

The renter must ensure accurate delivery details, suitable loading access, parking, lifts, venue access and collection arrangements. Additional costs may apply where access is delayed, restricted or unavailable.

Guest Invitations and RSVP Coordination

Where Social Events provides invitation or RSVP coordination, the client must provide a lawful, accurate and up-to-date guest list and confirm that they have the right to share the information and contact each guest about the event.

Our role is limited to the agreed invitation, RSVP, reminder and event-information service. We do not guarantee message delivery, guest responses, attendance, turnout, guest conduct, spending or event success.

We will not sell or use a client’s guest list for unrelated Social Events marketing. A guest who independently subscribes to Social Events marketing through their own direct opt-in may remain in our separate marketing database in accordance with the consent they gave us.

Feedback and Event Performance Information

We may invite clients, participants and guests to provide feedback after an event. This may include voluntary information about experience, satisfaction, sales outcome, footfall, costs, event impact and suggestions for improvement.

We use this information internally to assess and improve our services. Individual feedback and business-performance information will not be disclosed to other participants, clients or third parties unless we have permission or are legally required to do so.

Photography, Video and Content

Social Events, venues and authorized photographers or videographers may capture photographs and videos during events for operational, documentary and marketing purposes.

By attending or participating, you acknowledge that you may appear in general event photography or video. If you do not wish to be featured, notify a Social Events team member before or during the event. We will consider reasonable requests, but may not be able to remove a person from crowd imagery, live content or material already published.

Participants and clients confirm they have the necessary rights to any logos, products, images, music, content or materials they provide or display, and will be responsible for resulting third-party claims.

Intellectual Property and Confidentiality

All Social Events concepts, strategies, event designs, layouts, renderings, mood boards, drawings, production methods, website content, branding, photographs and other creative materials remain our intellectual property unless a quotation expressly states otherwise.

A client may use final deliverables only for the agreed project and only after all payments are made in full. No person may copy, reproduce, share, sell, alter, publish, reuse or provide our materials to another event organiser, contractor or business without our prior written consent.

Clients must keep our supplier details, quotations, production methods and confidential commercial information private unless disclosure is required by law.

Health, Safety, Personal Property and Incident Reporting

All attendees, participants, clients, guests, staff and suppliers must follow Social Events’ safety instructions, venue rules, capacity limits, emergency procedures and applicable laws.

Participants and clients are responsible for the safety, legality and proper use of their own products, equipment, displays, activities, representatives and staff. They must not create trip hazards, block entrances or exits, use unsafe equipment, overload electrical points, use open flames, candles or hazardous materials, or undertake unapproved activities.

Any accident, injury, safety concern, property damage, lost property or incident must be reported to a Social Events team member immediately. We may document incidents and take reasonable action necessary to protect people, property and the event.

Insurance and Responsibility

Social Events may hold insurance appropriate to its operations; however, this does not replace a participant’s, client’s, renter’s, venue’s or supplier’s own legal and insurance responsibilities.

Participants, clients and renters should maintain appropriate insurance for their businesses, products, staff, guests, property and activities, including public liability cover where appropriate. We may require evidence of insurance where reasonably necessary for an event or venue.

No Guarantee of Commercial Results

Social Events provides strategy, coordination, design, styling, production and event-management services. We do not guarantee sales, profit, customer turnout, footfall, media coverage, influencer coverage, investor interest, conversion, business growth or return on investment.

Commercial results can be affected by product, pricing, service, staff performance, customer preference, timing, venue, weather, marketing, competition, economic conditions and third parties. A client’s or participant’s dissatisfaction with sales or perceived value does not by itself create a right to a refund, compensation or claim.

Complaints and Opportunity to Resolve

If you believe there is a service issue, you must notify us by email as soon as reasonably possible, and no later than 24 hours after the event or handover where the issue could reasonably have been identified then.

You must provide clear details and reasonable evidence. Social Events must be given a reasonable opportunity to inspect and, where appropriate, address an issue before any third party changes, removes, repairs or replaces the relevant work.

Limitation of Liability

To the fullest extent permitted by applicable law, Social Events is not liable for indirect, incidental, consequential, special or commercial loss, including loss of profit, sales, revenue, goodwill, opportunity, expected attendance or reputation.

Our total liability relating to a particular booking will not exceed the amount actually paid to Social Events for the specific service giving rise to the claim.

Nothing in these Terms excludes or limits liability, consumer rights or other obligations that cannot legally be excluded or limited under applicable law, including liability arising from Social Events’ own negligence where applicable law does not permit exclusion.

Indemnity

To the fullest extent permitted by law, participants, clients and renters agree to indemnify Social Events against third-party claims, losses, costs, fines, damages and expenses arising from their products, services, staff, guests, content, guest lists, breach of law, breach of these Terms, unsafe conduct, inaccurate information or unauthorized use of our property or intellectual property.

Force Majeure and Circumstances Outside Our Control

Social Events is not responsible for delay, cancellation, interruption, reduced scope, loss or failure caused by circumstances outside our reasonable control.

This may include venue closure, government restrictions, permits, severe weather, public-health measures, power failure, transport disruption, supplier failure, labour shortage, civil disturbance, emergency, access restrictions, acts of third parties or other force-majeure events.

Where reasonably possible, we will work with the client to identify an alternative solution, revised scope or new date. Refunds, credits or compensation will be provided only where required by applicable law or expressly agreed in writing.

Privacy and Data Protection

Our collection and use of personal data is governed by our Privacy Policy. By using our website or services, you acknowledge that we may process personal data as described in that policy and as permitted by applicable law.

Third-Party Websites and Platforms

Our website, communications or services may contain links to third-party websites, ticketing services, payment providers, venues or social-media platforms. These providers have their own terms and privacy practices.

Social Events is not responsible for their content, availability, security, service quality or handling of information.

Governing Law, Language and Jurisdiction

These Terms are governed by the laws applicable in the United Arab Emirates and the Emirate of Dubai.

Any dispute will be subject to the jurisdiction of the competent courts and authorities of Dubai, unless applicable law requires otherwise.

These Terms are written in English. If an Arabic translation is provided or required for legal proceedings, the Arabic version will prevail to the extent required by applicable law.

Changes to These Terms

We may update these Terms where our services, operations, website, policies or legal obligations change. The latest version will be published on our website with its effective date.

The version in force on the date a booking is made will generally apply to that booking, unless a change is required by law or the parties agree otherwise in writing.
