By booking a service, public-event space or rental item with Social Events Sole Establishment, you agree to this Store Policy, our Terms & Conditions, your quotation or booking confirmation, and our Privacy Policy. Where there is a conflict, the signed agreement or accepted quotation will apply.

Booking Confirmation & Service Availability

A booking is not confirmed until Social Events has confirmed it in writing by email and received any payment due at that stage.

All services, dates, spaces, rental items and packages are subject to availability. We may decline an enquiry, application or booking where it does not suit the event concept, available capacity, operational requirements, safety requirements or our business standards.

Public Event Applications & Approval

Participation in a public event is by application and approval. Submitting an application does not guarantee a space.

We review each application based on the event concept, category balance, brand fit, trade-licence validity, product suitability and available capacity. We may approve, decline or request further information before accepting an applicant.

Payment Deadlines & Securing Your Space

Once an application is approved, the payment deadline will be stated in the approval email. Unless otherwise stated, payment must be made within the stated period, which may be between 10 and 24 hours.

A space is secured only once full payment is received. If payment is not received by the deadline, we may release the space to another applicant without further notice.

Public Event Cancellations, Refunds & Transfers

A participant may cancel within four hours of completing their booking by emailing us. After this four-hour period, all public-event bookings are strictly non-refundable, non-transferable and cannot be converted into credit for another event.

This applies if you change your mind, cannot attend, decide the event is not suitable for you, choose to leave the event, dislike another participant or competitor, or are dissatisfied for reasons based on personal preference. A booked space may not be transferred, sold or shared with another business without our written approval.

Waitlist & Fully Booked Events

Once an event is fully booked, no additional spaces are guaranteed. Where possible, we may maintain a waitlist and contact applicants if a space becomes available.

Joining a waitlist does not guarantee acceptance or a future space.

Booth Spaces, Categories & Approved Products

Each booked booth is for one approved business and one approved category unless Social Events confirms otherwise in writing. Booth sharing is not permitted.

Only the brand, products and category approved in your application may be displayed or sold. You may not bring an additional brand, category or product range without prior written approval, even where both brands have the same owner. A brand wishing to display more than one distinct category must apply for and secure the relevant space or category approval.

Stand dimensions, display capacity and the quantity of products that may be accommodated vary by event. Please review the relevant event description before applying.

Booth Location, Floor Plan & Visitor Flow

Participants select from the available booth locations offered at the time of booking, where applicable. Social Events does not assign responsibility for a participant’s sales outcome based on booth position.

We design layouts with the intention of creating a balanced visitor journey throughout the event. However, footfall, customer behaviour, product demand, pricing, merchandising, sales skills and purchasing decisions are outside our control. We do not guarantee that any particular location will produce a particular level of sales or exposure.

Event Furniture, Stands, Signage & Damage

All furniture, stands, display elements and event styling supplied by Social Events remain the property of Social Events at all times. They may not be removed, altered, taken home or used outside the event unless agreed in writing.

Participants may not bring external stands, racks, furniture, design elements or display structures. This protects the event aesthetic, safety and layout.

Any brand-name sticker, label or signage supplied by us is for event identification only unless stated otherwise. Participants are responsible for protecting all Social Events property in their care. We may charge for repair, replacement, cleaning or loss caused by misuse, negligence, unauthorised alteration or damage.

Sales Staff, Badges, Dress Code & Models

Only approved sales staff may work at a participant’s booth. Staff must wear the required event badge and follow the dress-code or color guidance provided for that event.

Models may assist with sales where approved, but may not conduct catwalks, fashion shows or promotional walk-throughs around the venue. Social Events may refuse entry to or remove any staff member who does not follow event rules, venue rules, safety requirements or conduct expectations.

Influencer Coverage, Marketing & Sales Results

Influencers, photographers, videographers and marketing partners are engaged to promote the event as a whole. Individual booth coverage, influencer posts, product features, customer purchases, social-media reach, footfall, leads, sales or return on investment are not guaranteed.

Social Events may highlight selected categories, brands or event moments at its discretion. Participants are strongly encouraged to promote their own participation and invite their own audience. Event promotion is a shared effort, and sales results remain the responsibility of each participating business.

Participant Conduct, Removal & Event Rules

Participants, owners, staff and representatives must act professionally and respectfully towards guests, venue staff, other participants, suppliers and the Social Events team.

We may remove a person, restrict access or cancel participation where conduct is disruptive, unsafe, abusive, misleading, unlawful, harmful to the event experience or inconsistent with our event rules. No refund will be due where removal or cancellation results from the participant’s breach of these policies or venue rules.

Trade License & Business Requirements

Public-event participants must hold a valid trade licence and any approvals required to offer their products or services. We may request a copy of the licence or supporting documents at any time.

If an application is declined or cancelled by Social Events because a licence is invalid, expired or unsuitable, we may refund the amount paid for that participation, provided the participant has not otherwise breached these policies. Participants remain responsible for the legality, safety, quality, labelling, licensing and sale of their own products.

Private Event Deposits & Payment Schedule

Private-event work begins only after receipt of the required initial payment. Unless your quotation states otherwise, the payment schedule is:

  • 30% non-refundable initial payment to begin strategy, moodboarding and concept development;
  • 60% after written design approval and before production begins; and
  • 10% no later than 24 hours before installation or event setup.

If any payment is not received when due, Social Events may pause work, postpone the event, adjust the scope, apply a rush fee or decline installation until payment is received in full.

Private Event Budgets, Scope & Additional Costs

Clients must provide a realistic maximum budget at the beginning of the project. Our recommendations, materials, concepts and production scope are developed around that budget.

If a client later reduces, increases or materially changes the budget, scope, venue, guest count, concept or requirements, this may require revised work, a new quotation, additional fees and a revised timeline. A limited budget may necessarily result in a more basic execution; this does not mean the agreed service was incomplete.

Venue rental, permits, catering, entertainment, third-party suppliers and other external costs are separate unless specifically included in the written quotation.

Concept Approval, Revisions & Design Changes

Social Events may present mood boards, strategies, concepts, layouts, renderings, samples or design directions for client review. The client must provide clear written approval by email before we proceed to the next stage.

Once a concept has been approved and detailed design or production has started, a change to a different concept, theme, strategy or direction is not treated as a minor revision. It may require new moodboarding, redesign, supplier changes, production changes, additional fees and a revised timeline.

Clients are responsible for reviewing and approving all concepts, layouts, renderings, samples and materials. Social Events is not responsible for dissatisfaction with a concept or strategy that the client approved in writing.

Event Postponement, Late Payment & Short-Notice Fees

Private events should be booked at least three months in advance. We may accept shorter-notice projects, subject to availability and a premium rush fee.

If a client postpones after paying the initial 30% payment, that amount may be used once towards a new date, provided the new date is confirmed within six months of the original event date and is subject to availability. After six months, the amount expires and is non-refundable, non-transferable and cannot be converted into store credit.

If late client payment creates a shortened production timeline, Social Events may require a rush fee, alter the scope or require the event date to be changed. If suppliers cannot accept the project due to the delayed timeline, postponement may be necessary. This does not create a right to cancellation or refund.

Venues, Suppliers, Contractors & Third Parties

Social Events may recommend venues, suppliers, collaborations and service providers where relevant to the event strategy. Recommendations are not a guarantee of a third party’s performance, conduct, availability, legal compliance or commercial outcome.

We use selected contractors and suppliers with whom we have working relationships. Their identities, rates and arrangements are confidential unless we choose to disclose them.

Where a client uses their own contractor or asks a third party to execute our design, Social Events is not responsible for that third party’s workmanship, delays, materials, safety, interpretation or final result.

If venue access, exhibition access, loading access, power, approvals or other third-party requirements are delayed or unavailable, Social Events is not responsible for resulting changes, incomplete finishing, damage, reduced setup time or delays beyond our reasonable control.

Event Setup, Client Access & Final Handover

Clients, guests and unauthorised representatives may not enter or remain in the setup, production or installation area until Social Events confirms that the setup is ready for review.

This protects safety, focus and the agreed timeline. We may ask any person to leave the working area if they interfere with our team, suppliers, safety procedures or production schedule. The client is responsible for any delay, additional cost or disruption caused by their representatives failing to follow this requirement.

Once the event setup is ready, the client should inspect it promptly and raise any concern before the event begins where reasonably possible. We may document the final setup through photographs, videos, checklists or handover records.

No Guarantee of Sales, Footfall or Commercial Results

Social Events provides event strategy, design, coordination and execution services. We are not a sales agency and do not guarantee sales, profit, customer turnout, footfall, media coverage, investor interest, customer conversion, business growth or return on investment.

Commercial outcomes may depend on factors including product, price, staff performance, customer demand, venue conditions, weather, marketing, competition and third parties. A client’s dissatisfaction with sales or perceived value after approving the project does not by itself create a refund, compensation or liability claim.

Design Ownership, Renderings & Use by Other Contractors

All concepts, mood boards, strategies, layouts, renderings, drawings, brand campaigns, production methods and creative materials created by Social Events remain our intellectual property unless the quotation specifically states otherwise.

A client may use the final deliverables only for the agreed project and only after all payments have been made. A client may not reproduce, share, sell, alter, use for another event or provide our designs to another contractor without our prior written consent.

Clients must provide accurate venue plans, measurements, files, specifications and information. Social Events is not responsible for errors resulting from inaccurate, incomplete or outdated information provided by the client or venue.

Furniture & Event Rental Bookings

All rental items remain the property of Social Events. A rental booking is confirmed only after Social Events confirms availability and receives any payment or security deposit due.

Rental items may be used only for the agreed event, location, date and purpose. They may not be sub-rented, lent, moved to another location, altered, branded, painted, drilled into, glued, taped, repaired or modified without our written approval.

Rental Deposits, Damage, Loss, Cleaning & Late Returns

The renter is responsible for all rental items from delivery or handover until collection or return. This includes loss, theft, damage, breakage, missing parts, excessive cleaning, water damage, candle wax, food stains, unauthorised outdoor use and misuse.

We may retain all or part of a security deposit and charge additional amounts where repair, replacement, cleaning, collection, storage or late-return costs exceed the deposit. Rental fees are not refundable once the reserved period has begun, except where required by applicable law or agreed by us in writing.

The client must ensure safe access, correct delivery details, parking, loading access, lifts and venue permission. Additional waiting, access, delivery or collection costs may apply where these are not provided.

Guest Invitations, RSVP Management & Client Guest Lists

Where Social Events provides invitation or RSVP coordination, the client must provide a lawful, accurate and up-to-date guest list and confirm that they have the right to share each guest’s information and contact them about the event.

Our role is limited to the agreed invitation, RSVP, reminder and event-information service. We do not guarantee message delivery, attendance, guest response, guest conduct, attendance numbers or guest spending.

We do not sell or use a client’s guest list for unrelated Social Events marketing. If a guest has separately subscribed to Social Events marketing through their own direct opt-in, that separate subscription may continue in accordance with the consent they gave us.

Feedback, Surveys & Event Performance Reviews

We may invite clients, participants or guests to provide feedback after an event. This may include voluntary information about their experience, satisfaction, sales outcome, footfall, costs, event impact and suggestions for improvement.

We use this information internally to assess and improve our services. Individual responses and business-performance information will not be shared with other participants, clients or third parties unless we have permission or are legally required to do so. Where possible, we use combined or anonymised feedback to review overall event performance.

Communication Channels & WhatsApp Notifications

All official enquiries, approvals, instructions, changes, complaints and requests must be sent by email. We do not accept official approvals or changes through WhatsApp, Instagram, telephone calls or personal contact with our team.

WhatsApp may be used for one-way notifications, announcements, reminders, RSVP automation and operational updates. Unless a message specifically requests an RSVP response, replies to WhatsApp notifications may not be monitored or answered. WhatsApp is not a general customer-service channel.

Virtual meetings, where offered, may be recorded or AI-noted with notice to participants. We may send a written meeting summary for record-keeping. The number and frequency of meetings are determined by the project scope and are not unlimited.

Force Majeure, Event Changes & Circumstances Outside Our Control

Social Events is not responsible for delay, cancellation, reduced scope, interruption, loss or failure caused by circumstances outside our reasonable control. This may include venue closure, government requirements, permit restrictions, severe weather, public-health measures, supplier failure, utility interruption, transport disruption, access restrictions, civil disturbance, emergency, force majeure or acts of third parties.

Where reasonably possible, we will work with the client to identify an alternative solution, revised scope or new date. Refunds, credits or compensation will be considered only where required by applicable law or expressly agreed by Social Events in writing.

Health, Safety, Personal Property & Incident Reporting

All attendees, participants, clients, guests, staff and suppliers must follow Social Events’ safety instructions, venue rules, capacity limits, emergency procedures and all applicable laws.

Participants and clients are responsible for the safety, legality and appropriate use of their own products, equipment, staff, displays and activities. They must not create a trip hazard, obstruct entrances or exits, use unsafe equipment, overload electrical points, use open flames, candles, hazardous materials or undertake any activity that has not been approved by Social Events and the venue.

Anyone who becomes aware of an accident, injury, damage, safety concern, lost property or incident during an event must notify a Social Events team member immediately. We may document incidents and take any reasonable action needed to protect people, property and the event.

Attendance and participation involve ordinary event-related risks. To the fullest extent permitted by applicable law, Social Events is not responsible for personal injury, loss, theft or damage caused by a person’s own actions, another attendee or participant, a venue, a supplier, a third party, or circumstances outside our reasonable control.

Nothing in this policy excludes or limits liability that cannot legally be excluded, including liability arising from Social Events’ own negligence where applicable law does not allow that liability to be waived.

Privacy & Data Protection

Social Events collects and uses personal information only as needed to manage enquiries, bookings, public-event applications, private events, rentals, RSVP services, payments, operational updates and legal obligations.

We do not sell or rent customer, participant or client guest-list data. For full details of how we collect, use, store and protect personal data, please read our Privacy Policy.

Intellectual Property, Brand Use & Trademarks

The Social Events name, logo, concepts, event designs, renderings, layouts, photography, website content and other creative materials are owned by or licensed to Social Events.

They may not be copied, reproduced, used commercially, altered or shared with another organizer, contractor or business without our prior written permission. A participant or client may use approved Social Events materials only for the agreed event and for approved promotional purposes.

Terms & Conditions

This Store Policy is a practical summary of important booking, event and rental rules. By making a booking, submitting an application, renting an item or using our services, you also agree to our Terms & Conditions.

Our Terms & Conditions contain the full legal terms that apply to services, payments, approvals, cancellations, postponements, liability, disputes and other legal matters.

Limitation of Liability

To the fullest extent permitted by applicable law, Social Events is not liable for indirect, consequential, incidental, special or commercial losses, including loss of profit, revenue, sales, goodwill, opportunity, expected attendance or reputation.

Our total liability in relation to a particular booking will not exceed the amount actually paid to Social Events for the specific service giving rise to the claim, except where liability cannot lawfully be limited or excluded.

Nothing in this policy excludes rights or liabilities that cannot be excluded under applicable UAE law.

Governing Law, Disputes & Contact

This Store Policy is governed by the laws applicable in the United Arab Emirates and the Emirate of Dubai. Any dispute will be handled through the competent courts or authorities of Dubai, unless applicable law requires otherwise.
